

Prospective Tech's AI Use Policy
Purpose
Prospective Tech uses artificial intelligence to improve research, strategy, training, assessment, communication, and organizational performance. AI should support human judgment, not replace it.
Guiding Principle
AI must be used in a human-centered, ethical, secure, and responsible way. Every AI-assisted decision must remain accountable to a person.
Approved Uses
Employees and partners may use approved AI tools to:

Draft and improve internal documents

Support research and analysis

Summarize non-confidential information

Develop training, workshop, and proposal materials

Improve productivity and workflow design

Support AI readiness assessments and strategic planning
Prohibited Uses
AI may not be used to:

Upload confidential client, employee, financial, legal, or proprietary data into unapproved tools

Make final hiring, legal, financial, disciplinary, or business decisions without human review

Create false, misleading, biased, or deceptive content

Impersonate any person or organization

Publish AI-generated content without review and approval
Data Privacy and Confidentiality
Confidential or sensitive information must not be entered into public AI tools unless the tool has been approved for that use. Client data, employee records, passwords, trade secrets, and private business strategy must be protected at all times.
Human Review
All AI outputs must be reviewed for accuracy, bias, relevance, and business judgment before use. “The AI said it” is not an acceptable reason for any decision.
Transparency
Prospective Tech will disclose AI use when it materially affects clients, partners, published content, assessments, or decision-making processes.
Bias and Fairness
AI tools must be used in ways that support fairness, inclusion, and responsible decision-making. Any AI output that may affect people, opportunities, access, evaluation, or treatment must receive additional human review.
Security
Only approved AI tools, platforms, and workflows should be used for Prospective Tech business. AI tools must not be connected to company systems, files, email, or client data without proper review and approval.
Accountability
Every person using AI on behalf of Prospective Tech is responsible for how they use it, what they enter into it, and how they apply its outputs.
Review
This policy is reviewed every six months, or sooner if AI tools, client needs, laws, or organizational risks change.
